Position Overview & Specifications

Whyte Matter Staffing Solutions are proud to be recruiting on behave our Client. Our client is looking for HR Assistant to join their confectionary company. The role will be based in Newtownards Co. Down. The HR Assistant will be responsible for a variety of HR tasks to support the delivery of a professional HR service to the Newtownards and Bromley sites and Group Projects as required. The Client is looking for someone to be responsible for providing administrative support for the HR function to include the following areas: Recruitment & Selection, Inductions, Training & Development, Employee Relations, HR Policies & Processes, HR Systems & Projects.


Accountabilities

  • Record, organise and maintain the administration of HR activities and data in an efficient, effective and confidential manner.
  • Create, maintain and update all relevant employee personal data (electronic and hardcopy) in a accurate manner in line with the Company’s GDPR policy and procedure.
  • Support the HR team and Monitoring Officer to complete Equality Commission monitoring requirements by collecting monitoring information for applicants and entering data into the HR system.
  • Undertake administrative activities linked to the employee lifecycle (new starts, internal movers and leavers) e.g. preparation of offer packs, processing of invoices, creating personnel files, generating addendums, etc.
  • Assist the HR team in coordinating interviews, liaising with recruitment agencies, creation of schedules, preparing interview packs and representing the HR department on interview panels where appropriate.
  • Support the HR team and Training and Development Co‐Ordinator in meeƟng audit standards by ensuring all personnel and training files are complete and up‐to‐date e.g. relevant signatures obtained, checking induction forms have been returned and completed, providing headcount/CSR/ ethical trading information.
  • Assist the HR team and line managers to arrange induction for new starts and deliver HR inductions as required.
  • Ensure GDPR compliance through the regular audit and data cleanse of hard documents.
  • Effective use of HR systems to include the running of reports as required.
