Position Overview & Specifications

Job Purpose
To provide comprehensive administrative support to the school's academic and administrative staff as well as to undergraduate and postgraduate (PGT/) students. Be responsible for maintaining key systems within the College of Science and Engineering related to teaching and quality assurance.
Main Duties and Responsibilities
The main duties and responsibilities listed below provide an indication of the generalist scope of tasks associated with a role of this nature within the College of Science and Engineering. Specific duties and responsibilities for the role may vary locally dependent on School placement and this will be discussed with each preferred candidate prior to and immediately after appointment.
1. To act as a first point of contact via email inbox in a busy teaching office for staff, students and internal/external customers, communicating efficiently, effectively and courteously.
2. Provision of administrative support to disciplines in the College of Science and Engineering including support to key discipline committees e.g. discipline meeting and staff student liaison committee meetings, making use of University systems (such as Sharepoint) for the management of committee paperwork. Production of accurate minutes from these meetings.
3. Administration of examinations including preparation of exam papers ensuring the moderation process is followed. Upload of exam papers to relevant portal(s). Design and processing of exam scripts. Servicing of exams whether in exam venues or online. Clerk to the Board of Examiners. Liaise with the external examiner and prepare all information required by him/her for pre-exam board scrutiny. Publication of results.
4. Administration of all coursework submitted to the Teaching Office including dissemination of and recording of information for quality assurance purposes. Maintenance of the Moodle Site and Turnitin or relevant plagiarism software
5. Provide general office duties e.g. maintaining office equipment, responsibility for the upkeep of notices and maintenance of stationery stores. Identify and contribute to the implementation of new office procedures to continually improve office systems.
6. Monitor and approve all local room bookings with the College of Science and Engineering.
7. Other administrative duties required throughout the teaching and student cycle including maintenance of records; committee servicing, front line support.
8. Undertake any other reasonable duties as directed by the line manager

Knowledge/Qualification
Essential
A1 Either: Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role. Or: Scottish Credit and Qualification Framework level 5 or 6 (National 5 or 6, Scottish Vocational Qualification level 2 or 3) or equivalent, and experience of personal development in a similar role
A2 Excellent knowledge of current IT packages including Word, Excel, and e-mail

B1 Knowledge of University systems and Higher Education procedures

C1 Proven excellent administrative skills, including excellent attention to detail
C2 Excellent interpersonal skills with the ability to communicate pleasantly and positively with others by telephone, email and in person, using tact and discretion when necessary
C3 Ability to work under pressure, and prioritise a busy workload responding to changing priorities as appropriate whilst maintaining a high standard of customer service
C4 Ability to use own initiative and be pro-active in planning ahead
C5 Ability to work under minimal supervision as well as working as part of an extended team

Terms and Conditions
Salary will be Grade 4, £22,197 - £24,715 per annum.
This post is full time (35 hours per week) and open ended.
