Position Overview & Specifications

An exciting opportunity in the role of Customer Operations Administrator has become available within the Travelbound Music and Concerts Tours Team!

Sitting in the Experience Education Division of Travelopia, Travelbound is dedicated to arranging specialist music and performance tours and is a small team that requires a strong and enthusiastic teammate.

Our Experience Education business incorporates our fantastic brands, SkiBound, Travelbound, Edwin Doran & Masterclass, World Challenge and JCA Adventure. The EE division is part of the Travelopia Group, a KKR owned company, and is a leading provider of educational travel – offering a wide range of experiences for students in the UK and Australia: from ski and adventure breaks to international travel supporting core curriculum subjects, sports tours and expeditions to places near and far!

Working for Travelbound as the Customer Operations Administrator, focusing on Music Tours, your responsibility will be to manage all aspects of customer service and tour operations from confirmation of booking to point of departure. You will liaise with clients, coach companies, hoteliers, concert venues, restaurants, and attractions servicing our client's needs while taking all opportunities to upsell extras and improve our margin. Key to this is a musical understanding of the clients’ requirements in order to book and promote the most appropriate concerts.

What you will be doing

  • Create exciting itineraries that meet the client’s needs and expectations
  • Generate customer invoices and ensure all payments are received on time
  • Process supplier invoices and ensure all costs are accurately recorded on our reservation system
  • To forge close relationships with clients, suppliers, and internal colleagues to maximize profit and minimise costs
  • Deliver outstanding customer service to tight schedules and precise standards
  • Help with quote creation and administration during busy sales periods
  • Follow up on outgoing marketing material and seek new business during busy sales periods
  • Load, amend and update our Customer Database system

What we are looking for:

  • Proven experience in a similar role or equivalent from the travel industry
  • Passion and interest for music is highly desirable
  • Excellent listening/communication skills and the ability to build trust
  • Genuine passion for excellence in customer care
  • Be pro-active, ready to take the initiative and think creatively to tackle challenges and confident to engage with a range of collaborators
  • IT literate (especially Excel, PowerPoint and Word), and good attention to detail
