Position Overview & Specifications

Background: Tourism Swansea Bay is an association concerned with developing and assisting tourism businesses in the Swansea bay area. The area includes; Gower, Mumbles Swansea, Neath Port Talbot. It comes as a result of the recent merger of Tourism Swansea and The Neath
Port Talbot Tourism Forum. We support and develop tourism businesses within the area through close working with partners such as The Regional Tourism Partnership and The City and
County of Swansea. We provide a wide range of benefits to our membership and are responsible for a smooth flowing and effective trade communication network withint he industry.

Job Title: Administration Assistant

Responsible to: Management Committee through Tourism Development Officer

Job Summary: With its recent formation, Tourism Swansea Bay now encompasses a much wider geographical area meaning that the work load within the office is much more demanding hence the creation of this new part time position. The association operates solely from one main office and the administration assistant would be expected to become involved in all aspects of the day to day running of the office as well as to provide general administration support for the Tourism Development Officer.

Hours: Approximately 24 hours per week, hours can be arranged depending on candidates regular commitments stated during the interview and scheduled meetings for the association.

Main Duties:

  • Provide a welcoming point of contact for members
  • Assist with responding to members/non-members enquiries through the use of telephone, fax and computer
  • Maintain up to date filing system
  • Assist in all photocopying, electronic mail and written activities – computer literacy, typing and presentation skills are essential.
  • Maintain and Record concise telephone messages
  • Assist in maintaining stock levels on essential working documents and marketing materials
  • Provide a scribe service during specific meetings, some of these may take place out of the office
  • To ensure the office is kept tidy at all times

Secondary Duties

  • To support, when work load allows, the general duties of the Tourism

Development Officer

  • To promote membership of the association whenever possible
  • To attend organised events and support the organisation of each where possible
  • To carry out all other duties required from time to time by the Management

Committee and Tourism Development Officer

Personal requirements:

  • To promote a positive image in line with Tourism Swansea Bay’s policy
  • To be an effective part of the Tourism Swansea Bay team framework
  • To be self motivated, professional yet approachable
  • To have good social skills and a sense of humour when appropriate
  • To have suitable experience in a similar post or demonstrate ability to work within this role

Job Type: Part-time
Part-time hours: 22.5 per week

Salary: £9.81 per hour
