Position Overview & Specifications

PET/CT Administrator - This is a Permanent Part-Time post (30 hrs/wk). The 30 hours could potentially be shared between two individuals (e.g. 3 & 1 or 2 & 2).

The Department of Medical Physics & Bioengineering is looking to recruit a friendly, efficient and self-motivated individual to join our administrative team supporting the PET/CT Service.The role includes contacting patients by phone (a good telephone manner is essential), making appointments,data collection and entry and other general clerical duties.You will need to possess excellent organisational and interpersonal skills and have an ability to quickly learn new software packages. Training will be provided .

1. To contact patients by phone and record patient responses to questionnaires.

2. To make appointments in CRIS and Millennium, (including preparation of appointment letters/envelopes). This also includes scanning in necessary paperwork, preparing and printing lists and finding and copying reports and forwarding images to PACS. Training will be given

3. To operate systems external to the hospital e.g. Alliance Medical Limited (AML) Radiology Information System (RIS), for which, significant training will be given. This includes scanning in necessary paperwork, preparing and printing lists, entering data into a spreadsheet from information on CRIS, copying the right report for the right patient into a pdf and appropriately attaching the pdf to correct patient on the AML RIS.

4.Use own initiative to reschedule/rearrange appointments as a result of cancellation/late referrals and urgent patient requests

5. Ensure accuracy of inputted data.

6.To ensure accurate paper and electronic records are maintained and stored as appropriate including the PET/CT spreadsheet and patient satisfaction survey spreadsheet.

7.Respond to ad hoc patient and staff queries (in person, by telephone and by email).

8.Contribute ideas and initiatives to help towards creating and maintaining an effective and efficient service.

9. To arrange transport for patients asand when appropriate.

10.To communicate effectively with a variety of staff in order to ensure a good and efficient service.
