Hours: 37 hours

Contract: Permanent

An opportunity has arisen for a Deputy Records Manager to work within the Information Governance Unit.

We are seeking a person who is enthusiastic, has a good knowledge of the Management of Police Information and is willing to help the team prepare for Digitisation.

You will need to have a keen eye for detail, be able to cross reference data across a number of systems in order to reach conclusions that meet legal requirements for the retention of operational police material and have the ability to summarise your findings into reports for managers. You will need to be a good communicator able to offer guidance or signposting about records and data quality mattes and be keen to help make data quality improvements across our systems.

Working within a small team you will help to manage both physical and digital material improving the quality and accessibility of it to the wider force. This post will also assist with providing evidential material to the courts whilst working with key stakeholders to move towards a digital delivery service.

Good communication skills are essential as you will need to provide support and guidance to staff and managers as we drive towards an improving Record Management Service.

Role Purpose

To manage the operations of the Record, Retention & Disposal (RRD) team and Data Quality monitoring Officers in line with Code of Practice on the Management of Police Information, other legislation and Force Policy. To manage the correction and repopulation of Force Data, assisting in the maintenance of Operational Force systems. To develop and manage processes enabling structured working and compliance with legislation and force policy.

Key Responsibilities

  • Acts a first point of contact for all enquiries relating to Data Management, RRD processes and merging nominal records.
  • Provide first line management to the RRD Officers, offering support and guidance whenever needed.
  • Reports directly to the Records Manager on any issues, concerns or outcomes that arise from their daily work within the department/function.
  • Monitors working practices, work results and reviews individual and team performance on a regular basis.
  • Undertake the role of decision maker in relation to RRD of police records taking cognisance of any risks attached to the records.
  • Takes the role of decision maker when considering complicated Data Quality matters, interrogating all available force and national systems.
  • Authorises the amendment of records to comply with Force policy, national standards and legislation.
  • Maintain auditable records of processes and decisions that underpin decisions to retain or dispose or records.
  • Demonstrates the ability to implement best practice.
