Position Overview & Specifications

Extraordinary Britain is a rapidly expanding inbound travel company offering luxury, tailor-made programmes for high end discerning clients coming to the UK from around the world. The Company offers exceptional customer service and has an enviable reputation for creative travel planning and unique insider access.

Candidates for the role of Operations Coordinator will be part of the Operations Team. They will be responsible for liaising with suppliers (primarily hotels, transport providers, sightseeing attractions etc) to help plan and operate unique and bespoke trip itineraries and programmes around Scotland, England and Ireland for both Leisure and Corporate/Incentive clients.

MAIN DUTIES AND RESPONSIBILITIES

  • Working within the Operations Team to support the Creative Planning Team by delivering tailor-made programmes in the UK and Ireland
  • Booking services and suppliers for confirmed itineraries as required
  • Producing final tour programme documentation for clients and internal programmes for operational use
  • Maintaining an accurate cost and invoice log for the trips using dedicated software
  • Researching trips, activities and sightseeing as required
  • Regular communication with suppliers
  • Maintaining, developing and nurturing relationships with hotels and other suppliers within the UK and Ireland
  • Responsible for own portfolio of client trips

ESSENTIAL REQUIREMENTS

  • Excellent organisational skills
  • Exceptional communication skills
  • Highly motivated with a flexible attitude to working extended hours during peak periods
  • Ability to manage several projects concurrently and prioritise workload
  • Ability to be able to work as part of a team as well as work on own initiative
  • Effective time management and ability to work under pressure
  • Exceptional attention to detail and logical thinking
  • Advanced computer and strong Microsoft Office skills (Excel, Word, Outlook)

DESIRABLE

  • Practical experience within the events or travel industry
  • Good geographical knowledge of the UK and Ireland
  • Good knowledge of luxury hotels and properties

Salary will be negotiable dependent on experience.

A TYPICAL DAY AS AN OPERATIONS COORDINATOR:

Check emails and make sure all information is updated in dedicated software

Respond to any suppliers/guides that have emailed in

Discuss trips and tasks with Creative Planning Assistant

Prioritise any tasks that need immediate attention

Contact suppliers/guides etc & purchase tickets

Continually update dedicated software as you work throughout the day – each and every task must be recorded in our dedicated software in such a way that someone else can pick up where you left off and continue to set up a trip

REMOTE WORK

The majority of your work will be carried out remotely but there will be days where the team will meet up to work together in person. These days will take place in London and so it is important that this is convenient to you.

Job Type: Full-time

Salary: £12.00-£15.00 per hour
