Position Overview & Specifications

We are looking for an Executive Assistant to join our team at Cygnet. In this role you will provide personal administrative support and assistance to the Property Director (line manager), Group Facilities Director and Property Commercial Director as specified.

This is a National role which requires regular presence on site across the portfolio and a minimum of 1 – 2 days per week at Head Office in Millbank aligned with the movements of the Director.

Duties and Responsibilities

  • Design and maintain databases
  • File and retrieve documents and reference materials
  • Collate and manage data
  • Conduct research, collect and analyse data to prepare reports and documents
  • Manage and maintain executives' schedules, appointments and travel arrangements
  • Arrange and co-ordinate meetings and events
  • Record, transcribe and distribute minutes of meetings
  • Monitor, screen, respond to and distribute incoming communications
  • Answer and manage incoming calls
  • Liaise with internal staff at all levels
  • Interact with external contractors, supplies and third parties
  • Co-ordinate project-based work
  • Review operating practices and implement improvements where necessary
  • supervise, coach and train lower level staff

Key Skills & Experience

  • Excellent organisational and planning skills.
  • Outstanding communication and interpersonal abilities.
  • Good verbal and written communication skills, including report writing skills.
  • Competent with Microsoft office.
  • Attention to detail and accuracy
  • Confidentiality and adaptability
  • The candidate would ideally have 3 years experience providing support at a high level
  • knowledge of standard office administrative practices and procedures
  • Excellent communication skills
  • Information gathering and monitoring skills
  • Problem analysis and problem solving skills
  • Judgment and decision-making ability
  • Initiative
  • Full clean driving licence required and own vehicle.
