Position Overview & Specifications

As an Administration Assistant you will be a key support to the Operations Management Teams to ensure the clear and concise communication relay between internal and external contacts.
You will be required to have the ability to prioritise a varied workload while maintaining complex schedules and managing administrative support. The ability to be able to create, maintain and understand key information through various Microsoft documents is vital for this role.
Duties and Responsibilities
As a Administrative Assistant at Covetrus you have the opportunity to become multiskilled in a variety of different functions. Duties included but are not limited to:
  • Act as a communication relay between all essential departments and departmental managers to ensure information is passed accurately and efficiently.
  • Diary management in organizing inbound and outbound shipments through vendor, customers, haulage companies and internal/external departments.
  • Prepare, review and communicate clearly through email, memos, letters and forms which conform to the company standards.
  • Develop and maintain a filing system for QC and HR documentation according to the guidelines.
  • Assist in the publication of operational policies and procedures.
  • Reconcile and prepare data where required to assist with project work and departmental goals.
  • Maintaining and distributing Lockers, Uniforms and General Office Supplies, Phones, PPE, etc.
  • Provide meeting support for operational management teams i.e., letter printing, note typing etc. The record keeping and creation of associate 1-2-1 files.
  • The organization of interview process and onboarding of successful candidates.
  • Organization of project packs and collect and distribute agreed meeting actions.
  • To play a key role in achieving the operational goals and metrics by supporting the operational management team in the following
  • Continue to help support the SIC and metrics for each operations department.
  • Be a key support within the continuous improvement culture i.e., producing signage, forms, and project tools etc. as well as advising on operational improvements.
  • To maintain and manage the operational data through various systems i.e., Microsoft Excel
Skill and Experience
Essential
  • Educated to Standard Grade Level
  • Proficiency in MS Office Skills, namely MS Excel, Word and PowerPoint, in particular
  • Good Written and Verbal Communication Skills
  • A positive and self-confident approach when dealing with senior members of staff
  • A willingness to offer suggestions for improvements where problems are identified
  • A willingness to perform minor administrative tasks as requested by senior members of staff.
  • Confidentiality required with sensitive information
  • Excellent organizational skills
  • The ability to be flexible with working hours and location.
  • Knowledge of the order fulfilment cycle
Desirable
  • The ability to recognise and deal with problems as they arise and / or refer them to the Operations management team for appropriate action.
