As a Multi Occupation Specialist, you will be responsible for managing travel and expense reporting as well as administration support to Senior Executives. You will report to the Boeing International Enterprise Services Business Support Manager – UK and Ireland.
Primary responsibilities:
Duties will include (but are not limited to):
Responsibility for providing travel and expense reporting for the President of Boeing International
Responsibility for providing administrative support to 3 x Boeing Directors
Create, edit and maintain electronic and written communication, often with key external stakeholders
Processes incoming and outgoing communication and correspondence to ensure proper dissemination of information
Preparing and/or supervising the preparation of background materials for meetings
Coordinates and processes domestic and international travel arrangements, monitors designated business traveler's logistics, and assists in reconciling corporate credit card charges to ensure timely and accurate reimbursement and verifies payments to corporate credit cards
Collects and compiles data to provide visibility of status for traveler's review and/or signature
Prioritises and schedules management-level employee time and availability for efficient use of resources
Manages conflicting schedules, adapting to rapid change, working across numerous time zones
Plans and implements logistics for internal and external events and executive level meetings
Prepares reports and presentations to include but not be limited to; team meetings, Business Performance Review, and ad hoc presentations
Taking minutes in key Board level meetings, circulating and action tracking
Organisation and co-ordination of key events
This job interfaces and liaises quite extensively with other key Boeing U.S and Europe offices. Tasks may include providing support for visits by senior Boeing U.S. and Europe executives, coordinating teleconferences with Boeing U.S. and Europe leadership, assisting in the planning and preparation of offsite meetings– both content and logistics
This requisition is for a locally hired position in the UK. Candidates must have current legal authorisation to work immediately in the EU. Boeing will not attempt to obtain Immigration and labour sponsorship for any applicants.
Required Skills/Qualifications:
Communication: The successful candidate will be one of the focal points for the President of Boeing International both internally and externally. Therefore excellent written, verbal and interpersonal communication skills with ability to retain composure and flexibility under pressure are key
Computer Skills: Proficient in MS Word, Excel, PowerPoint and operation of office equipment such as PCs, copiers, scanners, fax and video conferencing equipment
Organisation: Ability to multi-task and to determine and manage priorities to meet multiple deadlines is important within this role
Team Working: This role will work as part of a small team supporting the executive leadership of Boeing in the UK, therefore being able to work effectively as part of a team is crucial. As an individual the candidate needs to be precise, accurate and meticulous, as well as reliable, pro-active and self-confident.
Preferred Skills Qualifications:
Experience with Concur –Expense Management. Travel & Invoice Software
