Position Overview & Specifications

Office Administrator

Salary: £20,000 - £23,000 depending on skills and experience

Purpose

The Association for Environment Conscious Building (AECB) is an independent, not for profit organisation, with the aim to deploy environmentally responsible building practices.

We are a small, virtual-office team of remote workers and so a flexible and disciplined approach to managing workload, communicating, and supporting colleagues and members is required. An ability to work from home is vital.

This role requires a flexible, well organised, personable and dynamic individual to support AECB staff and help co-ordinate administrative activity and general liaison within the AECB as required. Working closely with staff, you will be able to perform multiple tasks with minimal supervision and will support the administration related to our various workstreams. This will include operational liaison with subcontractors and other external partners.

Responsibilities

Typically, your duties and responsibilities will include:

  • Providing a wide range of administration duties to support AECB staff - working to, and further developing AECB standard operating procedures (SOPs)
  • Coordinating and supporting projects and organising the briefing of, and the work of subcontractors
  • Supporting staff liaising with the ‘Events and Marketing Coordinator’ and helping to implement marketing and communications activity relating to the annual conference and other AECB marketing campaigns and communications.

Membership Admin Support

  • Maintaining the membership database, including updating standing order memberships and issuing invoices
  • Answer prospective and existing member enquiries via email and phone.
  • All email communications with members and members’ feedback including local AECB groups
  • Coordination and liaison with PH+ Editor/staff
  • PH+ magazine mailing list preparation and administration
  • Assisting with the production of AECB Newsletter (including special editions)
  • Coordinate the webinar programme and assist webinar running (Zoom)
  • AECB Approved Certifiers Group administration
  • Conference admin/bookings
  • Processing shop sales (online and invoice)

Events and Marketing

  • Use Twitter, Linkedin and Youtube to promote AECB events, news and marketing
  • Use Mailchimp to issue the regular AECB newsletter

Training Admin Support

  • Liaise with the Training team to understand the current AECB training resources, in order to reply to general training queries, phone calls and emails.
  • Assisting the Training team in some aspects of administering and maintaining training courses and databases.
  • Become conversant with the online course platforms in order to book and enrol students, answer general student course access queries and invoicing when necessary.
  • Coordinate preparation and dissemination of information about the AECB Training Centre Activities and projects

Finance and Legal

  • Reconcile Stripe and banking through Excel analysis.
  • Complete requisition forms as requested.
  • Prepare quarterly sales figures for PHPP/designPH software
  • Other support for financial processes as required

Qualifications/Skills/Experience/Knowledge

  • A degree in a relevant field or equivalent work experience (preferred but not essential )
  • Excellent administrative skills including the use of spreadsheets and databases
  • Ability to prioritise work, manage customer and colleague expectations and meet deadlines
  • A flexible, adaptable and disciplined approach to managing workload, communicating and supporting colleagues remotely
  • Ability to solve problems and take ownership of issues
  • Excellent customer service skills and the ability to build and maintain positive working relationships
  • Strong verbal and written presentation skills
  • Proof reading and copywriting skills
  • Good analytical and critical thinking skills
  • Proficient in MS Office and other digital products
